How Often Should Your Office Be Professionally Cleaned?

There is no single cleaning schedule that fits every office. The right frequency depends on how many people use the space, how often visitors come in, the number of restrooms, whether there is a shared kitchen or break room, the floor materials, and your working hours. Different areas of the same office often need different frequencies.

Use the guidance below to prepare for a conversation with your cleaning provider. These are planning considerations, not a fixed schedule for every business. The photo above shows a meeting room at a client office that Empire cleans, not an Empire office.

Start with how your office is used

A small office with a few employees and occasional visitors usually has different needs from a busy office with a full staff, client meetings, and a reception area. Hybrid schedules can also change how much the space is used from one day to the next. Note how many people use the office on a typical day and which days are the busiest.

Areas that usually need the most attention

Restrooms, break rooms, trash and recycling, entrances, and reception areas tend to show use first. Many offices plan these areas for every visit and cover the rest of the space on a less frequent rotation.

Decide which tasks staff will handle between visits, such as wiping up spills or emptying a full container, so nothing is left without an owner.

Workspaces and meeting rooms

Desks, private offices, and conference rooms may need vacuuming, accessible dusting, and trash removal on a regular rotation. Decide whether employees will clear their desks, which surfaces and equipment the crew should leave untouched, and how meeting rooms should be left after cleaning. Handling documents or personal belongings should never be assumed.

Planning examples for offices

Lower-traffic office. A small office with limited visitors may plan fewer professional visits per week, with staff handling light tasks in between.

Busy office. An office with a full staff, regular visitors, and a shared kitchen may need more frequent visits, sometimes on most business days.

Mixed approach. Some offices combine routine visits for restrooms, break rooms, and trash with a less frequent schedule for detailed dusting and floor care.

These examples are a starting point for discussion, not a recommendation for your specific office.

Floors and carpets

Routine vacuuming and mopping are different from periodic carpet extraction or hard floor care. Plan those services around the surface condition, the traffic, and manufacturer guidance rather than a single interval for every office.

When to revisit the schedule

Look for overflowing waste containers, restrooms that need attention before the next visit, recurring buildup on entrance floors, or changes in headcount or office hours. These signs may call for a different frequency, revised tasks, or clearer responsibilities between visits. Employee illness alone does not establish that cleaning frequency is the cause.

Frequently asked questions

Does every office need nightly cleaning?
No. The schedule should reflect how the office is used, your priorities, and who handles tasks between visits.
Does recurring cleaning replace detailed floor or carpet care?
Not necessarily. Those tasks may require separate methods and scheduling.
Can cleaning take place after hours?
Discuss the preferred time, access arrangements, and availability before the schedule is confirmed.
